Academy handbook
everything a family needs
Policies, expectations and practical guidance, published in one place and kept current by the academy office.
Arrival and punctuality
Practice arrival is the scheduled start time. Game arrival is 30 minutes before kickoff.
PRACTICE Players are expected by the scheduled practice start time. If practice starts at 5:30 PM, the player is expected at 5:30 PM. The previous 15-minute early arrival requirement is no longer current (Handbook v2, effective 19 August 2026). GAMES Players must arrive 30 minutes before kickoff. If kickoff is 10:00 AM, arrival is 9:30 AM. Legacy staff may record an authorised override with a reason.
Attendance and availability
Consistent attendance is a development requirement, not an administrative one.
Families RSVP to each session and game in Legacy HQ. Absences should be reported in advance through Family HQ. Repeated unreported absence triggers a participation review with the coach. Extended absence, including vacation, should be logged in advance so the coach can plan and so the player returns on a development recovery plan rather than losing their place. Attendance recovery is a development process. It is not a medical clearance and never replaces one.
Equipment and kit
What every player brings to every session.
Soccer cleats or appropriate footwear. Shin guards. A labelled water bottle. A size-appropriate soccer ball. The required Legacy training or game kit. Weather-appropriate layers for outdoor training at Foxhill Park. Legacy provides balls, bibs and all session equipment.
Player conduct
Effort, respect and responsibility are non-negotiable at every age.
Players are expected to arrive ready, listen first, compete fairly, support teammates, respect officials and opponents, and take responsibility for their kit and their behaviour. Sportsmanship in victory and defeat is coached with the same rigour as technique.
Parent and spectator conduct
Parents are partners in the development environment.
Parents support from the touchline, coach from silence, and leave instruction to the coaching staff. Abuse of officials, coaches, players or other families is not tolerated and may result in removal from the environment. Concerns are raised through Legacy HQ or the academy office, never on the touchline during a session or game.
Coach conduct and safeguarding
Every coach is background checked and accountable to the Legacy Standard.
Coaches are background checked and trained. Coaches never meet a player one-to-one out of sight, never contact a player privately outside approved channels, and report every safeguarding concern immediately. A designated safeguarding contact is reachable through the academy office.
Injury and return to play
Medical clearance is separate from attendance recovery.
Injuries are reported to the coach and recorded in Legacy HQ. A player withheld for medical reasons returns only with the clearance required for the injury. Private training, improved attendance or coach approval alone never medically clears a player.
Concussion protocol
Suspected concussion means immediate removal.
Any player with a suspected concussion is removed from the session or game immediately and does not return that day. Return to play requires written clearance from a qualified healthcare provider and a staged return supervised by Legacy staff. No coach, parent or player may shorten this process. FAQ summaries never override this section.
Weather operations
Legacy may modify, shorten, delay, relocate, cancel or reschedule outdoor activity.
Weather decisions follow the Weather and Activity Modification Policy. Decisions are published through Legacy HQ and calendars update automatically. A weather cancellation does not automatically create a refund.
Payments and team dues
Registration and team dues are separate.
Registration covers the season programme as described at the point of registration. Team dues, where approved, are a separate charge and are published before they are collected. Payments are taken through Legacy's secure payment process.
Refunds
Once the season begins, registration and season fees are non-refundable.
Full terms are in the Season Refund Policy. Approved refunds are initiated within 7 business days of approval; the time for funds to appear depends on the payment provider and financial institution.
Private and specialty sessions
Non-refundable, one reschedule with 24 hours notice.
Separately booked instructional sessions are non-refundable. One reschedule is permitted with at least 24 hours notice. Less than 24 hours notice, or a no-show, forfeits the session. If Legacy cancels the session, the family is offered a reschedule at no charge or an approved refund.
Communication
Legacy HQ is the primary operational platform.
Schedules, weather decisions, RSVP, attendance, payments, documents, announcements and emergency notices are delivered through Legacy HQ. Account and support correspondence uses legacy11academy@gmail.com. Keep notifications enabled and contact details current.
Media and photography
Joining Legacy includes media consent unless a restriction is recorded.
Registration includes consent for Legacy to capture and use training, matchday and community imagery, unless a parent or guardian records an applicable restriction or opt-out under Legacy's current media policy and applicable law. Recorded restrictions are private and are enforced operationally. They are never displayed publicly.
Emergency procedures
Every session has a responsible adult and an emergency plan.
Emergency and medical information supplied at registration must be kept current. In an emergency, staff act on the information on file and contact emergency services where required, then the listed guardians.
